# AppFolio vs Buildium: Which Fits Your Management Company?

AppFolio vs Buildium comes down to portfolio size. Under 50 units, Buildium is the practical pick. It has no unit minimum, shows its plan prices online and offers a 14-day free trial. From 50 units up, AppFolio comes into play. Its entry plan needs at least 50 units and a minimum spend, and it aims at firms that want one system for leasing, books and AI help. Between 50 and a few hundred units, price both, fees included. Past that, compare AppFolio Plus and Max with Buildium Premium, since that is where each one puts API access. This is as of each vendor's pricing page on October 16, 2026.

**Key takeaway**

Pick Buildium if you want to start fast and see plan prices up front. Pick AppFolio if you manage 50 or more units and want deeper leasing tools and a leasing CRM on the top plan; its final price comes from a quote. Check the add-on fees on both before you sign.

We looked at each vendor's own pages in September 2026, plus reviews on Software Advice and Capterra, and checked both pricing pages again on October 16, 2026. Each section links to the vendor pages it draws on. Plans and features change often, so treat this as a snapshot and check the vendor pages before you buy.

## What is AppFolio?

AppFolio is property management software. Its main product, AppFolio Property Manager, runs leasing, accounting, maintenance, and owner and resident portals in one system. Some plans add AI helpers for leasing and the books. [AppFolio's site](https://www.appfolio.com/) lists multifamily, single-family, student, affordable, community association and commercial portfolios. Its entry plan needs at least 50 units.

Property managers use it to list and lease units, take rent, handle repair requests, keep the books and send owners their reports. The 50 unit minimum is from AppFolio's pricing page, checked on October 16, 2026.

## What is Buildium?

Buildium is cloud-based property management software for residential portfolios, from landlords to firms with fifteen thousand units or more. It handles leasing, rent, accounting, maintenance, and resident and owner portals. Its own site calls it all-in-one property management software. Buildium is a RealPage company, and it shows its plan prices online.

Landlords and property management firms use it to list units, screen and sign renters, take rent and keep trust accounts in order. It offers a 14-day free trial. Both facts are from Buildium's site, checked on October 16, 2026.

## Who each one is built for

AppFolio's [pricing page](https://www.appfolio.com/pricing) says its plans fit any size of business and any mix of homes. In practice, the entry plan has a 50 unit minimum. So a landlord with a dozen doors is not the buyer AppFolio has in mind. Its top plan is described as an enterprise tool for large operators.

Buildium casts a wider net. Its [home page](https://www.buildium.com/) says its customers range from landlords to firms with fifteen thousand units or more. It is built for residential work first, and it can also handle student housing and some commercial space. Firms with more than 5,000 units are asked to call for pricing.

If you run a small or new company, Buildium is the easier door to walk through. If you already run a few hundred units, AppFolio pitches its Plus plan at "growing businesses with complex portfolios."

## Pricing models, in plain words

The two vendors price in very different ways. That alone can settle the choice for some firms.

### AppFolio: a starting rate, then a quote

AppFolio lists three plans: Core, Plus and Max. As of October 16, 2026, each one shows a starting price per unit per month, with a "Get a Quote" button beside it. Each plan notes that a minimum spend applies, and Core carries a 50 unit minimum. AppFolio also sells extra services on top of a plan, so you will not know your full cost until you get a quote.

### Buildium: posted plans plus usage fees

Buildium shows a starting price per month for each of its three plans on its [pricing page](https://www.buildium.com/pricing/). On top of the plan, many actions carry their own fee. Online payments are charged per transaction. Tenant screening is charged per report, and it can be paid by the applicant. E-signatures cost per document on the lower two plans.

That fee list is where Buildium's real cost lives. Add up your monthly payments, screenings and signed leases before you compare totals. Do the same with AppFolio's quote, and ask what each add-on costs.

## Accounting and day-to-day work

Both tools do full property accounting. The gap is in depth and in how much the software does for you.

AppFolio's [accounting page](https://www.appfolio.com/property-manager/accounting-reporting) puts your company books and your property books in one chart. It links to your bank through Plaid and can capture receipts on a phone at the point of sale. Its Accounting Performer is an AI helper that codes bills and walks through month-end close. It comes with Plus and Max, not Core.

Buildium's [accounting page](https://www.buildium.com/features/property-management-accounting/) covers the core jobs well. It records payments, reconciles bank statements and runs reports that help you follow trust accounting rules. You get a custom chart of accounts. Workflow automations and custom fields sit on the Growth and Premium plans.

For work orders, both handle requests and vendors. Buildium's inspections come as an add-on on Essential. AppFolio puts inspections and unit turns in its Core plan.

## Leasing, listings and syndication

Leasing is where AppFolio pushes hardest. Its [marketing and leasing page](https://www.appfolio.com/property-manager/marketing-leasing) lists syndication to Zillow, Apartments.com and Zumper. It also covers self-guided tours, online leases and bulk renewals. Its AI leasing agent answers leads, books tours and updates guest cards on its own. The pricing page does not list it under any plan, so ask whether your quote includes it. A full leasing CRM comes with the Max plan. A rent pricing tool comes with Max or as an add-on.

Buildium covers the same basics, and keeps its more advanced leasing tools for the top plan. Its [syndication page](https://www.buildium.com/features/rental-listing-syndication/) names Zillow, Apartments.com, Apartment List, Dwellsy, RentPath, Zumper and Rental Beast. You list a unit with one click, and applicants apply online. The prospect pipeline, call hub and tour scheduling come with Premium only.

If your team leases many units at once, AppFolio's bulk and AI tools are aimed at that work. If you fill a few units a month, Buildium's basics may be all you need.

## Owner and resident portals

Both give residents a place to pay rent and send repair requests. Both give owners a place to see reports and papers.

AppFolio's resident app is called [FolioSpace](https://www.appfolio.com/property-manager/resident-experience). Residents can apply, pay by bank, card or Apple Pay, message your team and set up AutoPay. The core portal features are on all three plans. AppFolio also runs an [owner portal and a vendor portal](https://www.appfolio.com/property-manager/communication-service).

Buildium's resident portal and owners portal are on all three plans, per its [residential page](https://www.buildium.com/portfolios/residential-property-management/) and plan table. Owners can see statements, leases and receipts at any time. Residents can pay, submit requests and read notices from a phone.

## Integrations and API access

AppFolio runs a partner marketplace called [AppFolio Stack](https://www.appfolio.com/stack). Core includes standard partners and Plus adds premium ones. Direct API access starts at Plus, which is read only. Max adds read and write access.

Buildium's [marketplace](https://www.buildium.com/marketplace/) lists more than 50 apps, and every plan can use it. Buildium says you pay only for the apps you use. Its [Open API](https://www.buildium.com/features/open-api/) lets your team make API keys and link Buildium data to other tools. The catch is that the Open API is a Premium feature.

So on both, deep data access costs more. Plan for that if you want listings or reports to flow into other systems.

## Support and getting started

Buildium's plan table spells support out. Every plan gets ticket support by email and self-paced training in Buildium Academy. Live phone support starts at Growth. Growth and Premium buyers must use Buildium's setup service, which imports your data and builds a training plan.

AppFolio ties support to the plan too. Core gets standard support, Plus gets enhanced support and Max adds a dedicated customer success manager. Its accounting page says its support team works with you from day one of the move.

## What reviewers praise and criticize

On [Software Advice](https://www.softwareadvice.com/property/appfolio-property-manager-profile/vs/buildium-property-manager/), both tools score 4.5 out of 5, as of September 2026. AppFolio scores a bit higher on ease of use. Buildium scores a bit higher on support and value for money.

The weak spots show up in single reviews. On [Capterra](https://www.capterra.com/p/92228/AppFolio-Property-Manager/reviews/), some AppFolio users wish for more custom options. One reviewer found the AI helper for repair requests made it hard to reach a person. On [Capterra's Buildium page](https://www.capterra.com/p/47428/Buildium-Property-Management-Software/reviews/), some users find reports and custom options limited for complex firms. Others note the books are not line by line, or mention long waits for support.

Read a page of recent reviews for each before you decide. Look for firms your size.

## How listings reach your own website

Your site is where owners and renters judge you. So ask how listings get there before you sign.

Buildium gives you a free [hosted website](https://www.buildium.com/features/property-management-websites/) built from its template. You add your logo, list units with one click and take applications on the site. Buildium's own page says that for more advanced design, you may want a web designer. To pull listings into a custom site, you would use the Open API, which means the Premium plan.

AppFolio offers AppFolio Sites, a website tied to its platform. Its vacancy posting sends units to your site and to listing sites in one click. Many firms still want their own site, with their own design and pages.

That is the gap we work in. Kihan Marketing rebuilds the website templates that property management platforms ship, such as AppFolio's, into better sites with their own design and pages, while your software keeps running your rentals. For AppFolio, that work is on our page about [websites for AppFolio managers](https://kihanmarketing.com/property-management-marketing/appfolio-property-management-websites/). On WordPress, our plugin, [AppFolio Listings Pro](https://kihanmarketing.com/property-management-marketing/appfolio-listings-pro/), puts your AppFolio listings on your own pages. It needs no AppFolio API key, so you do not need an API plan for it. The three ways to put AppFolio listings on WordPress are compared in our guide to [showing AppFolio listings on WordPress](https://kihanmarketing.com/guides/appfolio-listings-wordpress/).

For more on the website side, see [what matters in property management website development](https://kihanmarketing.com/property-management-website-development-what-actually-matters-in-2026/) and [property management CRM and website builders, compared](https://kihanmarketing.com/top-rated-property-management-website-builders-with-crm/).

## Which should you choose?

Here is how we would match the two to common buyers.

- **If you manage fewer than 50 units:** Buildium. AppFolio's entry plan has a 50 unit minimum, and Buildium lets you try it free for 14 days.
- **If you run 50 to a few hundred units and want to keep costs clear:** start with Buildium's Growth plan and price it out. Then get an AppFolio quote and compare full totals, fees included.
- **If leasing speed is your main pain:** look hard at AppFolio. It aims its AI leasing agent, bulk tools and leasing CRM at teams with many leads. Compare them with Buildium's Premium leasing tools.
- **If you need custom reports or data in other tools:** check the API tiers first. That means AppFolio Plus or Max, or Buildium Premium.
