# Best Med Spa Software: Booking, Charting and Marketing Tools Compared

By [Ifrah Shah](https://kihanmarketing.com/ifrah/), Social Media Expert

People searching for the best med spa software usually want one system that books, charts and markets. It should come from a vendor that will sign a Business Associate Agreement (BAA). For clinical depth, look at PatientNow, AestheticsPro, Aesthetic Record and Zenoti. For booking first, look at Boulevard, Mangomint, Vagaro and Mindbody.

This guide compares eight med spa software platforms from a marketer's point of view. Each one publishes a med spa version. The details come from each vendor's own pages, as of October 2026. We did not test the products. We compared what each one says it does and costs. The guide also checks how each one links to your website, booking button and tracking.

**Sound familiar?**

- You are "getting crushed by the software decision" and honestly don't know where to start.
- You picked a system, and now you hear that switching your electronic medical record (EMR) system is "a major project."
- Your software can't send a confirmation text when a visit is booked or moved. Staff end up "manually texting customers" instead.
- Your card payments only work with the two processors your vendor allows.

**Key takeaway**

List the four jobs your spa needs done: booking, charting, memberships and marketing. Ask every vendor to sign a BAA. Then test booking on your own phone before you sign anything.

## What Does Med Spa Software Need to Do?

Med spa software needs to do four jobs well: take bookings and payments, hold clinical charts, sell memberships and packages, and help you market. A salon tool may handle the first and last. A med spa also needs the clinical part.

### Booking and payments

Online booking around the clock, deposits for high-demand visits, reminders and card payments in one place.

- Check: can a client book on a phone in under a minute?

### Charting and forms

Treatment notes, intake and consent forms, and before-and-after photos tied to each visit. Some add e-prescribing.

- Check: can your injector chart from a tablet or phone?

### Memberships and packages

Monthly programs, prepaid treatment series and gift cards that bill on their own.

- Check: does billing run without staff doing it by hand?

### Marketing

Email and text campaigns, review requests, booking from your [Google Business Profile](https://kihanmarketing.com/glossary/google-business-profile/). It should also count bookings without sharing patient details.

- Check: can it send a confirmation text the moment a visit is booked?

Charting matters more for med spas than for salons. Injectables sit at the center of the menu. [A 2024 article from the American Med Spa Association (AmSpa) says 91% of medical spas offer neurotoxin injections. It says 90% offer HA dermal fillers](https://www.americanmedspa.org/news/how-safe-are-the-top-med-spa-treatments/).

### Do You Need a Separate EMR?

You may not need a separate electronic medical record (EMR) system. All eight platforms below say they include charting. The real question is depth. A clinical platform is built around the chart. A booking-first platform adds charting to a strong calendar.

Ask to see a full injectables chart in the demo. Avoid running two systems for the same patient. If you do, every visit gets typed twice.

## How Do the Top Med Spa Software Platforms Compare?

The top med spa software platforms split into two groups. Clinical platforms lead with the chart. Booking-first platforms lead with the calendar and checkout, then add charting. The table sums up what each vendor publishes, as of October 2026. Each price links to the vendor's own pricing page.

| Platform | Charting and forms | BAA (what the vendor says) | Published price (as of October 2026) | Fits |
| --- | --- | --- | --- | --- |
| Zenoti | EMR with charting, digital consent, photos and e-prescribing | "Zenoti provides a signed BAA" | [Quote only](https://www.zenoti.com/pricing) | Growing and multi-location med spas |
| Boulevard | Charting suite, intake and consent forms, photo markup | Says it includes "BAAs to support regulatory requirements" | [Essentials $143 a month for one location; Premier $293 and Prestige $410 a month per location](https://www.joinblvd.com/pricing) | Booking-first spas, one location or many |
| Mindbody | SOAP notes and custom intake forms | Terms say you must request a BAA before use if HIPAA applies to you | [Three plans (Starter, Accelerate, Ultimate)](https://www.mindbodyonline.com/business/pricing) | Spas that want to be found in the Mindbody app |
| Vagaro | Custom charting, SOAP notes, consent forms, photos | "Vagaro provides a BAA" for medical spa customers | [Published plans plus add-ons](https://www.vagaro.com/pro/pricing) | Single-location spas that want simple published pricing |
| AestheticsPro | E-records, charts, intake and consent templates, AP Photo | No BAA mention on the pages we read | [Pro-Plus $160, Executive $285, Enterprise $350 a month](https://www.aestheticspro.com/Software-Pricing/) | Clinical spas that want one all-in-one system |
| Aesthetic Record | Charts, photos, consents and notes, with a provider app | No BAA mention on the pages we read | [$15 or $19 a month per user, plus a $399 startup and onboarding fee](https://www.aestheticrecord.com/pricing) | Solo injectors and small clinical teams |
| PatientNow | EMR for injectables, lasers, skin, photos and consents | No BAA mention on the pages we read | [Quote only](https://www.patientnow.com/pricing) | Medical-director-led clinical practices |
| Mangomint | SOAP notes, image markup, forms, before-and-after photos | Says you can "sign a Business Associate Agreement (BAA) with us" | [$120 a month per location plus $10 a month per user](https://www.mangomint.com/pricing/) | Booking-first spas that want simple pricing |

"No BAA mention" means we found no BAA statement on the pages we read. It does not mean the vendor won't sign one. Ask each of them in writing.

## Is Med Spa Software HIPAA Compliant?

Some med spa software can support HIPAA. But HIPAA itself may not apply to your spa. It depends on whether you are a covered entity. Start there. Then pick a vendor that will sign a BAA either way.

If you want HIPAA compliant med spa software, the test is a signed BAA. As of October 2026, Zenoti, Boulevard, Vagaro and Mangomint say on their sites that they offer a BAA. Mindbody's terms say you must request and sign its BAA before use if HIPAA applies to you. AestheticsPro, Aesthetic Record and PatientNow say they are HIPAA compliant. The pages we read did not mention a BAA, though.

### Does HIPAA Apply to Your Med Spa?

HIPAA applies to your med spa if it is a covered entity. A cash-pay med spa that never bills insurance electronically may not be one. [CMS says a provider is covered if it sends claims or other HIPAA transactions electronically](https://www.cms.gov/priorities/key-initiatives/burden-reduction/administrative-simplification/hipaa/covered-entities). [The federal rules say the same](https://www.law.cornell.edu/cfr/text/45/160.103): a provider is covered when it sends health information electronically as part of one of these transactions.

[The FTC's Health Breach Notification Rule also covers some businesses that HIPAA does not](https://www.ftc.gov/business-guidance/resources/complying-ftcs-health-breach-notification-rule-0). One example is a business that offers a personal health record.

### Why You Should Still Get a BAA

Get a signed BAA anyway. Patient photos and charts are sensitive. Your spa may also start billing insurance later and become covered. [Under HIPAA, a covered entity needs a written promise that a business associate will keep patient data safe](https://www.law.cornell.edu/cfr/text/45/164.502). That written agreement is the BAA.

Many vendors call their software HIPAA compliant. But that badge is the vendor's own claim. The thing to get is a signed BAA for your account. Get it before any patient data goes in.

### Keep Patient Data Out of Your Ads and Analytics

Your marketing tools need the same care. As of October 2026, [Google says it does not offer BAAs](https://support.google.com/analytics/answer/13297105) for Google Analytics. So never send names, treatments or other patient details to it.

Google Ads has its own rules. As of October 2026, [its health policy counts injections and cosmetic surgery](https://support.google.com/adspolicy/answer/16701855?hl=en) as personal health content. [Google's customer data policy](https://support.google.com/adspolicy/answer/7475709?hl=en) lists purchases of medical services as a sensitive category. It says: "You may not upload conversion information related to sensitive categories."

So do not upload booking records to ad platforms. Read that policy before you set up any ad conversion tracking. For the deeper read, see [our guide to HIPAA risks in SEO and ads](https://kihanmarketing.com/healthcare-marketing-compliance-hipaa-safe-seo-and-ads/).

## What Should Med Spa Booking Software Do on Your Website?

Med spa booking software should let a patient finish booking on a phone, from any treatment page. It should also tell you a booking happened. It should not share who booked or what for.

**Booking that finishes on a phone.** Open your booking flow on your own phone and time it. Count the taps and the fields. Does it ask for an account before showing open times? That is friction.

**Embedded or off-site.** Some widgets sit inside your page. Others send the patient to the vendor's own site. Ask how the vendor's widget works. Ask how you will know a booking finished.

**A booking button on every treatment page.** Someone reading about lip filler is ready to book lip filler. Put the button there. Point it at that treatment when the software allows. Our page on [med spa website design](https://kihanmarketing.com/med-spa-marketing/med-spa-website-design/) covers how we build this.

**Booking from Google.** As of October 2026, [Google lets you pick a booking provider from your Business Profile](https://support.google.com/business/answer/7475773?hl=en). Booking options appear on the profile within a week. [Reserve with Google is only available in some countries](https://support.google.com/reserve/answer/9172607?hl=en). It needs a supported scheduling provider. Zenoti, Boulevard and Mindbody say they connect to Reserve with Google. Vagaro and PatientNow say patients can book through Google. Mangomint shows how to add a booking link. For more on Google results, see [our med spa local SEO guide](https://kihanmarketing.com/med-spa-local-seo-dominating-near-me-searches/).

**Tracking without patient data.** Count a "booking completed" event in GA4. Keep treatment names and patient details out of your page URLs and your events. Nothing about a patient should reach GA4, for the patient-privacy reasons in the HIPAA section above. Our [GA4 setup guide](https://kihanmarketing.com/ga4-setup-for-small-businesses-a-step-by-step-guide/) shows how to set up events. Keep this measurement on your own site, and keep booking records out of Google Ads and Meta.

**Rebooking emails from the same system.** Use the email and text tools inside your booking software. Then reminders go out from the record that knows the last visit. That is the same advice as [our guide to drip sequences that rebook](https://kihanmarketing.com/med-spa-email-marketing-drip-sequences-that-rebook/).

## How Much Does Med Spa Software Cost?

As of October 2026, the lowest starting price in this guide is [$15 a month per user at Aesthetic Record](https://www.aestheticrecord.com/pricing), plus a startup fee. The highest list price is [$410 a month per location for Boulevard's Prestige plan](https://www.joinblvd.com/pricing). Zenoti and PatientNow quote only.

Vendors charge per location, per user, by tiered plan or by quote. Aesthetic Record adds a startup fee. Many vendors add paid add-ons and payment processing on top. The table above links each vendor's pricing page. These are list prices, not a suggestion of what you should pay. Some vendors push you toward their own processor, as the platform notes above show. Ask what the processing rate is and whether you can bring your own.

**Yearly software cost calculator**

- Monthly base price for all your locations
- Monthly price per user
- Number of users

It adds your total monthly base price to the per-user price times your users. Then it multiplies by 12 months. For per-location plans, multiply the base price by your locations first. Add any setup fee and add-ons on top.

## What Should You Ask Before You Sign Up?

Ask these questions before you sign up. Get the answers in writing. Switching later takes work, so they matter as much as features.

- **What does the agreement cover, and how does either side end it?** Read the written agreement, not just the sales notes.
- **Who owns our client, chart and photo data, and can we export it?** Ask for charts, photos, consents and client lists. Get them in a format another system can read.
- **Do we have to use your payment processor?** Ask for the rate and what stops working if you use another one.
- **Will you sign a BAA for our account?** Have it signed before you load any patient records.
- **Can it text a confirmation when a visit is booked, moved or canceled?** Watch it happen in the demo.
- **How do onboarding and data migration work?** Ask who moves our data, how long setup takes and what it costs.
- **Which tools does it connect to?** Check Google booking, GA4, your website and your email tool.

## How Do You Read Med Spa Software Reviews?

Read med spa software reviews with care. Many of the pages that rank for this search come from vendors. Of the five top pages we checked, all five came from software companies or a lead generation directory. Three of them put their own product first.

- **Look for med spas, not salons.** A hair salon's praise says little about charting injectables.
- **Check the date.** Software changes fast, so old reviews may describe a different product.
- **Read the complaints.** Look for support delays, price rises and switching pain. [One AestheticsPro reviewer from a medical practice wrote on Software Finder](https://softwarefinder.com/emr-software/aesthetics-pro/reviews?page=12) that "the price increases annually."
- **Ask other owners.** Owners in groups like r/medspa say what they would choose if they started over. A review score never shows that.

## Which Is the Best Med Spa Software for Your Practice?

The right fit depends on how clinical your menu is and how many locations you run. Clinical menus lean toward PatientNow, AestheticsPro, Aesthetic Record or Zenoti. Booking-first spas lean toward Boulevard, Mangomint, Vagaro or Mindbody. Start with this quick check.

**Quick check: do you need a clinical platform or a salon-style booking tool?**

1. Do you offer injectables such as neurotoxins or fillers?
2. Does a medical director or nurse need to review or sign charts?
3. Do you take before-and-after photos at most visits?
4. Do you want e-prescribing inside the same system?
5. Do you bill insurance electronically for any service?

0 to 1 yesA booking-first tool with forms and charting is likely enough. Still get a signed BAA.2 to 3 yesDemo one booking-first platform and one clinical platform side by side. Bring a real chart to test.4 to 5 yesLead with a clinical platform. If you said yes to question 5, you are likely a covered entity. Then the BAA is a must.

### A Solo Injector

A solo injector needs fast charting, photos and booking. Fixed costs should stay low. Per-user pricing, like Aesthetic Record's, keeps the bill tied to headcount. Watch setup fees and add-ons. Check the BAA before you load the first patient.

### A Single-Location Med Spa With Memberships

A spa with one location lives on repeat visits. So memberships and rebooking matter most. Most of the platforms here say they handle memberships or packages. Compare how each one bills them and how it sends rebooking reminders.

### A Multi-Location Group

A group needs reports across sites and pricing that grows with it. Zenoti says it sets its pricing to fit your footprint. Boulevard and Mangomint charge per location. AestheticsPro says its two top plans support more than one location. Ask how staff, stock and memberships move between sites.

### A Med Spa Inside a Dental or Plastic Surgery Practice

A med spa may sit inside a larger practice that bills insurance electronically for other services. If it does, the practice is likely a covered entity. Then a signed BAA is not optional. Ask whether the med spa software can run alongside the practice's main system. Also ask who owns the patient record.

**Why take this from us**

This guide is by Ifrah Shah, Social Media Expert at Kihan Marketing. She writes about [med spa marketing](https://kihanmarketing.com/med-spa-marketing/): what brings patients in and what brings them back. Our team builds med spa websites, booking flows and tracking. So we see where software helps a spa get booked. We also see where it gets in the way. For [a cryotherapy studio near Seattle](https://kihanmarketing.com/projects/cryo-sanctuary/), we built the website and its booking page. Its organic clicks rose 231 percent over 90 days, year over year.

[Med Spa Website DesignSites where booking finishes on a phone and every booking is tracked.](https://kihanmarketing.com/med-spa-marketing/med-spa-website-design/)

## What to Do First

1. **List your four jobs.** Write down your must-haves for booking, charting, memberships and marketing.
2. **Ask the BAA and setup questions.** Send the checklist above to each vendor. Keep their written answers side by side.
3. **Demo two or three platforms.** Book a fake visit on your own phone. Then chart a real treatment in each one.

## Frequently Asked Questions

What software do med spas use?Med spas use software that books, charts and takes payments in one place. Eight platforms covered here sell med spa versions. They are Zenoti, Boulevard, Mindbody, Vagaro, AestheticsPro, Aesthetic Record, PatientNow and Mangomint. Is Boulevard HIPAA compliant? As of October 2026, Boulevard says yes. [Its pricing page FAQ](https://www.joinblvd.com/pricing) answers "Short answer: Yes," and [its buyer's guide says it includes BAAs](https://www.joinblvd.com/blog/hipaa-compliant-medical-spa-software). Ask Boulevard to sign a BAA for your account before you load patient data. Zenoti vs Boulevard vs Mindbody: which is better for a med spa?It depends on your size and menu. As of October 2026, Zenoti leans toward growing and multi-location spas and prices by quote. Boulevard leans toward smooth booking with built-in charting and publishes its prices. Mindbody helps new clients find you through its app. Mindbody's med spa page lists SOAP notes but not consent forms or photos. What is the difference between med spa software and salon software?Med spa software adds clinical tools to the salon basics of booking, checkout and retail. As of October 2026, [Zenoti lists charting, before-and-after photos, digital consent and e-prescription for med spas](https://www.zenoti.com/medical-spa-software). [PatientNow says it is built for med spas that need clinical workflows, not just booking and retail tools](https://www.patientnow.com/specialties/med-spa-software). If you offer injectables, test the chart, not just the calendar. What should med spa charting software include?Med spa charting software should include treatment notes, intake and consent forms, and photos tied to each visit. It also needs a way for a medical director to review charts. Some platforms, like Zenoti, also offer e-prescribing. Is Vagaro or Mangomint good enough for a med spa? They can be. As of October 2026, Vagaro lists charting, SOAP notes, consent forms and photos. It says it provides a BAA. Mangomint lists SOAP notes, image markup and photos. It also offers a BAA. Is your menu heavy on injectables? Test a full chart in the demo first. Can I switch software later?Yes, but plan for it. Switching EMRs is "a major project," one owner on r/medspa said. Ask up front how you export charts, photos and client data. Also ask who moves that data into the new system.
